PAROS is a system that facilitates the work not only of energy professionals, but also of invoices and accountants. In its development, we cooperated with specialists in the field of energy industry.
Having your premises and branches in different places and in different buildings, with a leasable capacity reserve, is a good business card for a successful company. One way to increase profitability is to monitor energy costs. Nowadays, when some rules in the economy cease to apply and new rules are being formed, the rule "Whoever wants to control, must also measure!", remains, or rather is gaining momentum. From the point of view of media consumption management and planning, i.e. Energy Management, we can add: "Whoever wants to measure must write down… and also count." As companies grow, or this issue grows stronger, the demands begin to increase on employees - energy. Usually, over the years, skilled energy engineers create a sophisticated Excel, in which they write down readings, calculate consumption, and plan consumption for the next year.
It's practical and it works to some extent. After exceeding this scope, they switch to specialized software that manages a larger scope, substitutability, cooperation, data sharing, reporting, reliability and thus ensures greater labor productivity for the whole company - an information system parameterized for energy engineers and their technicians, economists and accountants. Yes, we have such a system and we are constantly improving it with our customers.
We have developed a system that aims to make work as easy as possible not only for energy professionals, but also for accountants. We have fine-tuned our module with our customers to address the specifics of their internal procedures. At the same time, we used specialists in the field of energy and ensured compliance with the czech energy law and the structure of information from energy regulatory bulletins directly into the core of the module. The new issue of the bulletin or new prices will not surprise us. We will change the price list, create or correct the formula and continue. We are prepared for various changes at the point of consumption using a mechanism called "Attribute History Tracking". We can write that by March of the given year, the consumption point had a 16 A circuit breaker and then it was changed to 20 A, at the same time as the distribution rate from the original C 25D to C 35D.
We are constantly improving the original databases and procedures, creating new functionalities. We didn't start from scratch either. We build energy management on the HELIOS Nephrite platform. So we don't have to worry about the "support frame". The operation of forms, summaries, reports, prints is provided by a company that develops an economic system for hundreds of clients. Therefore, we can focus in development only on a specialized and precisely defined process and activity, which we enable with the support of our PAROS.
Thanks to our decision not to start from scratch, but to use the core and strong background of IS HELIOS Nephrite, we have support in customer-proven economic agendas and processes. Employees’ records, orders, centers, economic data in invoices or contracts, directly "grow through" the records of Energy Management. In this, you can directly choose which employee will go where, who is the administrator of the collection point, for which order to charge revenues ... So one system, one common record, one client on the PC, one way of control for all, the same administrator, the same database, same interface, same HW. Thanks to our large portfolio of customers, we are already familiar with a number of common information sources of readings. From sources such as telemetry, sheets of readings in Excel, mobile applications. We are able to read invoices from traders in formats such as Invoice 24 and ISDOC, that are part of the vast majority of economic and ERP systems available on the market. And, of course, we also process flow diagrams, so-called quarter-hours metering, from some energy distributors.
When data cannot be obtained by a telemetry and the customer does not want to rely solely on data from invoices or flow charts, a mobile application is the answer. Some may argue that a mobile application is a pencil and paper printed from Excel. It does not require a battery, it does not need a data connection. And the customer is right. But that's where the list of benefits ends. Because you have to find the correct field on the paper, check if the reading is not out of the expected tolerance, and finally rewrite the information into Excel and then import it into the information system. With the mobile application, for example, you come to an electricity meter, and remove a sticker with a QR code. A form will open with a box ready and the numeric keypad running. Enter the number, or take a picture of the dial, save and you're done. You will synchronize the data when you have the time and signal. So all you have to do is take a photo, copy the number, take another photo, save it and leave… It's easier than using paper.

Ensure evidence of readings, consumption and invoices not only of energy media. Based on this information, calculate, post, re-invoice, plan, optimize.
We start with the records... that is, with the records of consumption points for various types of media, typically electricity, gas, water, heat. We record basic data, such as the sampling category, distribution area, distribution rate, distributor, trader, price lists, contracts, meter location, serial numbers, etc. According to the type of medium, we record its typical parameters. For example, for electricity, the number of phases, the value of the circuit breaker, for bulk consumption, information about the transformer and its compensation, RRK, MRK, RP. Other information we record, for example, the responsible person, the reading circuit, the tolerance of consumption and methods of inspections, the calculation of consumption and the method of taking readings. If we want to embark on the issue of accounting, it is possible to set up accounts and various parameters for tracking costs, tracking revenues, re-invoicing, and working with Accrued Items.
Do your economists need to know the price of unbilled consumption? Use the calculation of Accrued Items. The module has several methods for creating Accrued Items - calculation according to own readings, calculation by estimation according to previous consumption or consumption plan. Subsequent processing of Accrued Items is automated and thus becomes only a routine matter without the need for complex cooperation between the energy professional and the accountant in settling the Accrued Items against the supplier's invoices. It is also possible to create consumption plans in technical and financial units in the module using various methods. For plans, you can adjust the consumption in technical units according to your intentions, or with regard to the reconstruction, you can also prepare an estimation of price lists that have not yet been issued. For each consumption point, you can try to model the price by changing the distribution rate, price list, or even annual and monthly purchases of extra capacity. Of course, it is possible to compare the plan with reality and evaluate the success of estimating the cost of consumption of individual media.
Being able to improve your balance and share the costs is always welcome. Not that our PAROS will arrange it for you, but it can record and calculate it. Do you have separate economic entities in the complex? Do you need to report their consumption according to the purpose or place of origin for the purposes of internal control? Are these costs incurred by another economic entity with whom you have a contract to re-invoice these costs? Don't have a way to measure the consumption? Create a virtual secondary consumption point with a consumption of the main point for instance at 10%. Do you need to record that during the growing season you are renting a power point for lawn mowers and hedge trimmers to a gardening company with an agreed flat consumption of 50 kWh per month? Consumption calculated in this way or measured directly can be easily re-invoiced and the consumption costs invoiced to you by your supplier can be cleared of costs that were not consumed by your company.
If you want to divide the costs into individual internally monitored cost centers or other controlling objects, it is possible to use Settlement. Again, a task leading to a virtual secondary point of sale, where you set the method of determining the amount of costs to be settled, for example using metered consumption or set percentages or just by transferring residual consumption to another cost center and then automatically create internal accounting documents directly for these costs thanks to the module’s functions. It is thus possible to easily trace the values and the procedure of their calculation in the case of inspections or possible audits.
Do you need to calculate the energy intensity of the consumption point? Create an audit object and have the consumption for electricity, gas and heat calculated, or subtract the supplied energy from the production to the network. Thanks to your readings and invoices, you will see in our system an overview of the values of total energy consumption marked by a traffic light, which based on set intervals simply displays the energy performance of buildings, premises or operations and you will be able to prepare documents for energy audit and energy performance certificate.
